Overview

The Administrative Assistant – Enterprise Solutions Delivery (ESD) provides administrative support for Sr. Director and Directors for the ESD Department within Information Technology Services. Performs standard and moderately complex administrative duties. Responsibilities include scheduling appointments and meetings, receiving visitors, handling incoming communications, preparing presentations, attending meetings and taking minutes, publishing reports, and performing various other administrative duties

Core Responsibilities

  • Schedules, appointments and meetings, frequently with other senior-level individuals outside the organization as well as internal departments.
  • Receives visitors and directs them to the proper person/location. Manages external contacts for supervisor proactively understanding who they are, and which are priority contacts; keeps track of periodic communication needed for priority contacts.
  • Prepares and/or edits complex documents, including spreadsheets and workbooks, presentation documents, and detailed reports. Including PowerPoint presentations for meetings with senior-level individuals.
  • Attends committee and other meetings, take meeting notes and document minutes. 
  • Compiles reporting for department metrics.  Assist in developing, proofing, editing, publishing, and maintaining department reports and other documents.
  • Plans, coordinates, and facilitates events including food deliveries for group meetings.
  • Assists with vendor communications, interaction, tracking and coordination.
  • Assists with coordination of small projects or initiatives.
  • Assists with onboarding and offboarding employees and contractors. 
  • Analyzes and revise operating practices to improve efficiency.
  • Makes travel arrangements and coordinates the pre-planning of trips. Processes and maintains expenses for Sr. Director and Directors.
  • Maintains office supply inventory and order office supplies
  • Maintains confidential information.

  • Must be customer service oriented with strong oral and written communication skills
  • Time management and prioritization of work; attention to detail
  • Strong organizational and coordination skills to support multi-tasking
  • Professional demeanor and ability to defuse emotional situations in a calm manner
  • Proven ability to work independently to accomplish duties and special assignments
  • Analytical mindset

Preferred:

  • Knowledge and understanding of the KofC organization desirable

Education

Required:
  • High school diploma or GED
  • 1-3 years related work experience or equivalent combination of training and experience

Compensation

The wage range for this role takes into account a broad array of factors that are considered in making compensation decisions, including but not limited to: skill sets; experience and training; licensure and certifications; and other business and organizational needs.  The range below applies as long as the work is performed in Connecticut; the Knights of Columbus reserves the right to adjust the wage range if the position is performed in another location.  At the Knights of Columbus, it is not typical for an individual to be hired at or near the top of the range for their role, and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $49,200-76,200.

Authorization to work in the United States is required.
