Overview

The Human Resources Specialist provides day-to-day administrative and operational support for Human Resources, ensuring a seamless experience from pre-employment through onboarding. This role is responsible for coordinating onboarding activities for both corporate employees and insurance sales agents, maintaining HR records, supporting HR processes, and serving as a key resource for employees and leaders. The ideal candidate is highly organized, customer-service oriented, and able to manage multiple priorities in a fast-paced environment.

Core Responsibilities

Onboarding & New Hire Experience

  • Coordinate the end-to-end onboarding process for corporate employees and insurance sales agents.
  • Prepare and distribute onboarding materials and new hire communications.
  • Coordinate, facilitate, and host weekly new hire onboarding sessions for corporate employees, ensuring a seamless onboarding experience, completion of required onboarding activities, and a successful transition into the organization.
  • Facilitate pre-employment requirements, including I-9 verification, employment eligibility, and other required documentation.
  • Ensure all onboarding documentation is completed accurately and within required timelines.
  • Partner with hiring managers and cross-functional departments to ensure smooth onboarding experience.
  • Track onboarding milestones and resolve issues promptly.

Insurance Sales Agent Administration

  • Coordinate administrative onboarding activities specific to insurance sales agents.
  • Monitor completion of all pre-contract requirements.
  • Maintain agent records and ensure required documentation is complete and up to date.
  • Serve as a liaison between HR, Sales Leadership, Licensing, Compliance, and other internal stakeholders to facilitate the onboarding process.
  • Support agent transfers, status changes, and offboarding activities.

HR Administration

  • Maintain employee personnel files and HRIS records, ensuring data accuracy and confidentiality.
  • Monitor Human Resources inbox and disperse to the appropriate HR teams when necessary.
  • Process employee transactions including hires, transfers, promotions, organizational changes, and terminations.
  • Prepare HR correspondence, employment verification letters, and other employee documentation.
  • Maintain HR forms, templates, and standard operating procedures.
  • Assist with reporting, audits, and record retention activities.
  • Support employee recognition, service awards, and other HR programs.

Employee Support

  • Serve as the first point of contact for routine HR questions regarding policies, onboarding, and HR processes.
  • Provide exceptional customer service while maintaining confidentiality.
  • Support managers with administrative HR needs and documentation.

Process Improvement

  • Identify opportunities to improve HR administrative processes and enhance employee experience.

Skills Qualifications

Preferred:

  • Professional HR certification (SHRM-CP) preferred.
  • Experience with onboarding processes.
  • Experience with SAP SuccessFactors HRIS, applicant tracking systems, and electronic document management.

Education

Required:

  • Bachelor’s degree in human resources, Business Administration or a related field.
  • 3–6 years of progressive Human Resources experience.
  • Experience coordinating onboarding or HR administration required.
  • Experience working with HRIS systems and Microsoft Office Suite.

Physical Demands

Must be able to remain in a stationary position for a majority of the workday.
